    Entoss Technologies: A Global Standard for Business Process Automation

    With ideas aplenty and investors around every corner, anyone can start a business and plow money and time into building a framework for business transformation. But isn’t it better to do the same while being awed in comfort, paying less, and still being productive?
    Today, business process automation has become a highly strategic enabler of business control and agility and an essential tool for any organization. What was once done on spreadsheets and documented in e-mail archives or even paper trails, is now replaced by niche tools with intuitive interfaces. The goal being the standardization and optimization of complex and labor-intensive routines, companies have resorted to systems with automated processes and intelligent decision-making capabilities. Today, one of the first things that organizations institutionalize to succeed in the digital transformation era is a niche digital transformation platform. However, like any good thing, building an automation platform comes with a price; it is complicated, expensive, and time-consuming, and it remains out of reach for mid-size enterprises.

    Connecting Microservices
    Entoss prioritizes three crucial necessities for today’s CIOs: business process automation, document management, and active mobile presence. Their platform—the Entoss Pomfret—enables automated intelligent business processes that allow enterprises to be connected with their workflow for better efficiency and flexibility. With its platform that provides three different modules/functionalities, Entoss aims to take away the major pain points of buying, building, and maintaining multiple infrastructures, platforms and software stacks for business process automation. A Business-Process-as-a-Service (BPaaS) cloud solution, Entoss Pomfret’s ActNow offers ready-to-use business processes on demand. It not only provides a dashboard with KPIs for each business process but also enables integration with QuickBooks, the third-party platform for posting accounting activities.
    On the other hand, Entoss Pomfret’s FileFlow is a Document-Management-as-a-Service (DMaaS) cloud solution that allows documents to be configured for triggering business processes while providing easy accessibility. As a CMIS-compliant document repository, it provides integration of suppliers and customer systems and also acts as a single place to manage digitalized documents. Entoss also offers a mobile app for interaction, scanning, and uploading documents along with Pomfret ActNow and Pomfret FileFlow—Entoss Pomfret OnHand—which provides the flexibility of accessing the cloud solutions from the mobile device. From generating and processing a receipt from anywhere, submitting or approving an expense report, to storing digital receipts on a centralized document store for auditing and compliance, Pomfret OnHand does it all and drives expedient and efficient travel and expense management (TEM).
    Advanced Business Process Re-Engineering
    Connecting microservices is at the top of Pomfret’s agenda, and the platform does this by providing seamless solutions for overall business processes such as travel-to-expense management, order-to-cash management, and procure-to-pay management along with comprehensive data analytics capabilities. In today’s ever-changing world, organizations have a dire need to improve their TEM to eliminate manual and paper-based processes, to reduce expense-processing costs, visibility-related issues, and the lack of control into the spending, and to ensure compliance. Entoss provides Pomfret TEM as a paperless reimbursement process to impart visibility into expense management policies, and procedures while reducing expense processing costs.

    Displaying remote and real-time accessibility for the same purpose is Pomfret OnHand; for instance, when employee “John Doe” wants to record an expense, he can use the mobile app on his smartphone to capture the bills, manage, and submit the claims for approval and reimbursement. As Pomfret TEM acts as an automated connection between TEM processes and the backend system, it enables John to book travel plans that are compliant and cost-efficient, gain approvals more quickly, and manage expenses without having to keep track of paper receipts or filling out spreadsheets. It also provides John’s manager full visibility into his traveling expenses and helps them determine deviant, over-budget, and other non-compliant spends.
    Apart from travel and expense management, increasing cash flow stays imperative to businesses not for just business success, but for serving their customers better in the long run. Dwelling upon the same ideology, Entoss automates order-to-cash management processes which not only channelizes the orders received from multiple sources into a single automated flow for order verification and approval but also facilitates the posting of accounts receivables to the user’s preferred accounting software.
    From a supplier’s perspective, Entoss automates procure-to-pay management processes, which provides a lean procurement model for reducing inventory holding costs and allows optimal selection of a vendor for a given order.
    Automation for Productive Results
    Entoss’ vision of “The Automated World,” connecting enterprises regardless of their size is evidently visible in their results. For instance, one of Entoss’ clients maintained services for several malls across cities. The company was looking for and analyzed scores of ERP solutions before they stumbled upon Entoss. When Entoss’ expert team observed the situation, they realized that the company was receiving a lot of purchase orders for various services from different malls, all as different sets of orders. And hence, managing all that made the process more cumbersome. As it was a small organization, they didn’t need a heavy-duty order management process. Entoss automated their specific order management and invoice processes, and as a result, the overall process became effortless and plain sailing.





    The company can now verify the purchase order, and then wait for the service request, and once it is complete, they can change the status of the order to “order completed.” Then, the invoice is automatically sent to the address from which the order was received. The automated order management process not only saves the company’s money but also makes the transactions seamless.
    Building a Road toward an Automated Future
    In order to provide an alternative to the extensive payment transfer network across the country, Entoss with its expert team is working on a strategic roadmap for embracing smart contracts technology. A research project based on the usage of the Decision Model and Notation (DMN) standards and using DMN as a smart contact that can be executed with blockchain technology is underway. Entoss also aims to add more capabilities to its solutions including the introduction of a travel wallet for travelers, based on the blockchain technology. From the time a travel request is created to the time it’s approved, a software tool will control the entire process.
    Entoss also intends to expand its footprint in Australia, New Zealand, and Hong Kong. “We enable successful digital transformations by building the platform for automation, integration, collaboration, and business analytics. We don’t reinvent the monolithic enterprise application ecosystem, but aim to grow with it,” states Xavier.
