The Architectural Engineering Construction industry is operational due to the relentless functioning of its on-going projects. These projects are significantly reliant on relevant and organized information for smooth execution, seamless continuation and timely completion of all their assignments. When architects and construction project managers such as Ronald Lu & Partners and Chun Wo Construction—started operating their major architectural and construction projects, they were in dire need for a proper document management system. They started using eProjectDM to mobilize their workforce—a comprehensive Project Document Management solution built on Microsoft SharPoint. Being a complete project management, document tracking, issue tracking, and project task tracking system— eProjectDM settled all the criticalities that the firm was facing with regards to documentation. This tailored SharePoint portal site offered by Wincas Technology helped the firms in organizing their project information and allowed users to collaborate and discuss the project issues quickly.

eProjectDM is built on the platform of Microsoft SharePoint on-premise and Office 365 to support mobility in Wincas’ user base such as architects, project managers, engineers, quantity surveyors, and developers. “Our eProjectDM solution provides an enterprise document management solution based on Microsoft SharePoint technologies for project teams. Coupled with our workflows tailor-made for the AEC industry, the project teams can easily find relevant documents and information, follow up on submissions, and collaborate on project issues,” confirms Jacqueline Li, Founder of Wincas Technology.

By gathering information from different sources such as Microsoft Exchange Server, Microsoft Office, and Office 365, Microsoft SharePoint organizes that information into the right form. This further enables eProjectDM to assist the project teams working in the AEC industry to easily find relevant documents and information, follow up on submissions, and collaborate on project issues. Wincas, with the help of Office 365, has also developed a cloud version of its eProjectDM solution allowing O365 companies to deploy the solution on their cloud platforms.

The custom-built quality of eProjectDM advantageously helps Wincas’ clients to access the right information at the right time in the most organized manner by following industry standards. The solution also possesses number generation engine to automate the registration of documents, and generate draft documents based on submission templates or letter templates. Even, signed documents—when uploaded to the system—are automatically distributed to relevant team members by using a rule-based logic. eProjectDM also keeps a track of on-site photos and emails. Wincas has also successfully developed a ‘Site Server Remote- Push’ technology that allows remote construction sites to have their own site servers to automatically push documents back to the head office system for further distribution and organization. Moreover, with eProjectDM Drawing Module—a tablet-based drawing viewing solution built on Microsoft SharePoint, users can view drawings and annotate on these drawings for further collaboration—allowing architects and engineers to view the drawings at the construction site, and also to retrieve relevant documents for a specific drawing.
