    auraDOCS: Document Management Made Easy

    To say that digital transformation is a global phenomenon, would be one way to characterize our obsession and dependence on digital technologies.But to go about it by viewing it through a set of glasses common for the whole world might not the be the best move. CTO of Auradot, Indika Kularathne narrows down to the minutiae of digital workflow in Sri Lanka, “Even though there is awareness regarding the necessity of digitizing workflows, components like Document Management Systems (DMSs) are restricted to forms processing and their takeoff as digital workflow applications are limited.” The cause, he interprets, is the masses failing to adequately adapt the “new way of working.”

    Reversing this trend would require encouraging user-acceptance of modern platforms and making them comfortable using the same. Auradot’s auraDOCS suite of DMS achieves both with its extremely user-friendly and simple workflow that allows even low-skilled employees to get things done with a few clicks. But given the variety of organization-specific processes, ‘simple’ alone is not enough. One could expect that in most cases organizations need to restructure themselves internally to accommodate a newly implemented solution. Most companies being discontent with this approach, Auradot’s counter approach makes the company an interesting incumbent in the present Sri Lankan market. Auradot believes that rather than an organization, it is its solution that must adapt according to a customer’s specific process requirements. To make this happen, the firm has a set of customizable configurations in its platform to suit clients’ domain and processes and rolls out a piece of software that molds as to the new environment.

    The solution is supported by a host of components that afford a seamless workflow for businesses. The core of the solution is auraDOCS Store and Search that allows easy capturing, indexing, and storage of documents.

    Auradot has placed multiple powerful barricades such as unique ID watermarks, document encryption and blockchain registry technologies that give companies a piece of mind about their information


    The next component, Filing Manager which allows multiple types of documents to be indexed in multiple different ways. Filing Manager lets a user file from the desktop and gives every user an unobstructed visibility into the filing structure. Auradocs Enterprise Manager, is more suited for enterprises with distributed locations with the ability to be hosted on distributed servers while collaborating as one. Kularathne adds that at times clients may have some paper-based backlogs that need to be converted into the auraDOCS system. The company’s business outsourcing unit provides the assistance in such instances to help clients import the data into the Auradot platform.

    The methodology at the framework of the platform is unique as well. Auradot primarily focuses on the 20 percent of a user’s activities that actually represent 80 percent of an organization’s total requirement. This ensures that the solution is well stocked with everything a client may want, without making the overall workspace simple so not too cluttered to work in. One noteworthy consideration at this point—as taught by the recent news of Paradise Papers—is the security aspect, as despite all the robust features the lack of a robust protective umbrella over digital infrastructure and processes can easily destroy an organization. To ensure this front, Auradot has placed multiple powerful barricades such as unique ID watermarks, document encryption and blockchain registry technologies that give companies a piece of mind about their information. For example, if someone takes a screenshot of a document or prints one, the activity can be tracked down easily. The optional blockchain registry can easily identify if any data has been tampered with. The firm also provides encryption capabilities as a standard feature, executable via public keys.

    Reflecting on the culture, Kularathne states that every member of Auradot is an integral part of the company which gives a sense of collective ownership to each employee. While Auradot’s solution in its current generic form is a robust platform that is adaptive to multiple use-cases, the company plans to scale the platform in line with a certain set of verticals in the near future. “We are also leveraging latest innovations such as artificial intelligence and learning engines to enhance our solution and make it capable of sensing what a user wants to do and perform that action automatically.”
